Sampling Procedures

Equipment Required

  • Personal protective equipment (PPE): Nitrile gloves at minimum; additional PPE as appropriate for the material being handled
  • Calibrated balance: For accurate weight measurements
  • Sterile sample collection vessels: Made of inert materials that won’t contaminate samples
  • Sanitizer: Isopropyl alcohol or ethanol for cleaning work surfaces and equipment
  • Required tracking tags: From the statewide monitoring system

Step-by-Step Sampling Protocol

  • Prepare the sampling area:
Wash hands and don nitrile gloves. Ensure work surfaces and balance are clean and sterilized. All sampling must be performed in areas under video surveillance.

  • Sterilize sampling equipment:
Any probes, dippers, or scoops must be sterilized before use to prevent cross-contamination.

  • Label collection vessels:
Mark sterile containers with the appropriate batch number from the statewide monitoring system. Verify batch information is correct before proceeding.

  • Collect representative samples:
    • For cannabis/hemp flower: Withdraw samples from the upper, middle, and lower sections of each container
    • Avoid sampling within 6 inches of any outer surface when possible
    • For batches with 1–10 containers: sample each container at random positions (top, middle, or bottom)
    • For processed products: sample from randomly chosen positions in the final product form; use agitators/mixers for liquids during sampling

  • Divide samples:
Remove the 23 g retention sample first, weigh it using your calibrated balance, and place in a labeled, sterile vessel. Place the remainder in a second labeled vessel for compliance testing.

  • Document collection:
Record the time of collection, any deviations from the sampling plan, and any observations relevant to quality assurance.

  • Store samples properly:
Secure samples in appropriate storage conditions until submission to the laboratory. Perishable items must be refrigerated or cold-packed during transit.

Critical Sampling Requirement

All sampling must be performed by trained personnel following documented standard operating procedures. Staff must be periodically monitored to ensure consistent adherence to proper sampling protocols. Proper sampling technique is essential to obtaining representative, accurate test results.

Sample Labeling Requirements

Each sample submitted to Analytica Inc. must be properly labeled with the following information per Minnesota Rules, part 9810.3100, subp.7b(6):

  • Batch number from the statewide monitoring system
  • Sample collection date and time
  • Product type and description
  • Licensee name and license number
  • Required Metric tracking tags
  • Any special handling instructions (e.g., “Keep Refrigerated”)

Incomplete or improperly labeled samples may be rejected or experience delayed testing timelines.
